Job Title: Manager – Administration

Job Purpose:
This position is responsible for leading and managing all administrative, facilities, logistics, vendor, and support service functions of the organization. The role ensures smooth, cost-effective, and high-quality operations by developing strong systems, policies, and automation-driven processes while maintaining a safe, efficient, and professional working environment.
Key Roles and Responsibilities:
- Ensure all administrative tasks are completed accurately, cost-effectively, and within defined timelines, in line with quality standards and business requirements.
- Continuously improve operational systems, processes, and best practices to enhance organizational efficiency.
- Drive optimization of purchasing, inventory planning, and material availability to meet operational needs on time.
- Implement automation for monitoring of assets, maintenance contracts, vendor services, and administrative activities.
- Develop, review, and improve administrative systems, policies, and procedures to ensure smooth and compliant operations.
- Establish standard operating procedures (SOPs) for all administrative and facilities functions.
- Ensure compliance with company policies, statutory regulations, and audit requirements.
- Ensure the office is fully functional, well-equipped, and professionally maintained at all times.
- Supervise all maintenance activities and prepare annual maintenance schedules for company properties.
- Manage Annual Maintenance Contracts (AMC) with vendors for all critical equipment and facilities.
- Oversee housekeeping, security, workplace safety, hygiene, and cafeteria operations.
- Ensure availability of vehicles for official duties, executives, and business travel.
- Ensure drivers follow company transport policies, safety standards, and professional conduct.
- Monitor driver performance, behavior, punctuality, and service quality.
- Monitor vehicle utilization, fuel consumption, maintenance, insurance, and registration.
- Manage accident handling, insurance claims, and vendor coordination for vehicle repairs.
- Identify potential vendors, develop specifications, analyze quotations, and recommend procurement decisions based on cost-efficiency and quality.
- Maintain healthy relationships with vendors and service providers and negotiate favorable commercial terms.
- Manage all service and maintenance contracts and ensure SLA compliance.
- Review lease agreements with landlords to ensure adherence to contractual terms and coordinate renewals and negotiations as required.
- Oversee procurement and inventory planning for office supplies, stationery, consumables, and operational materials.
- Ensure effective asset management through tracking, tagging, maintenance, and lifecycle planning.
- Maintain adequate stock levels to support uninterrupted operations.
- Work closely with the Finance department to resolve supplier invoice issues and ensure timely payments.
- Support budgeting, cost tracking, and expense optimization initiatives.
- Ensure all procurement and service costs are aligned with approved budgets.
- Set performance targets and monitor service quality across all admin functions.
- Build a culture of accountability, responsiveness, and service excellence.
Required Qualification & Work Experience:
- Bachelor’s or Master’s degree in Business Administration, Management, or related field.
- 8-10 years of experience in corporate administration or office management roles.
- Experience in corporate office operations, vendor management, and facilities management.
