Position: Hospital Administrative Manager

Job Description

Overall Purpose of the Job

The Hospital Administrative Manager is responsible for overseeing day-to-day hospital operations, ensuring efficient administrative processes, effective human resource management, and consistent implementation of organizational policies. The role works in close coordination with the Hospital Management Team to maintain high standards of service delivery, compliance, and operational efficiency.

Key Task and Responsibilities

1. Operational Management

  •  Oversee daily hospital operations to ensure seamless service delivery across departments
  • Conduct regular hospital rounds, particularly patient areas, and take prompt action to enhance patient care
  • Identify operational gaps and implement process improvements
  •  Ensure availability and optimal use of resources (facilities, equipment, and support services)
  •  Maintain a safe, clean, and patient-centered environment

2. Administrative Management

  • Manage hospital administrative functions, including documentation, reporting, and compliance
  •  Ensure timely preparation of operational and management reports
  •  Supervise office operations, documentation, and reporting systems
  • Coordinate with internal departments to streamline administrative processes
  • Ensure compliance with organizational and regulatory requirements
  • Provide daily directions to administrative teams and monitor performance
  •  Prepare monthly and yearly plans for administrative and financial work
  •  Prepare quarterly and annual reports for submission to HMT

3. Human Resource Management

  •  Support recruitment, onboarding, and workforce planning in coordination with HR
  • Oversee all non-medical staff including administrative, maintenance, support, security staff, and drivers
  • Monitor staff performance, attendance, and productivity, leave
  • Facilitate staff engagement, training, and development initiatives
  •  Address employee concerns and promote a positive work environment
  •  Coordinate staff deployment and task allocation
  •  Ensure adherence to HR policies and labor regulations

4. Policy Implementation & Compliance

  •  Ensure implementation and adherence to TLMN policies, procedures, guidelines and SOPS
  • Conduct orientation for staff, visitors, and interns on policies and hospital rules
  • Monitor compliance with regulatory and accreditation standards
  • Participate in policy reviews and suggest updates where necessary

5. Safety, Security & Visitor Management

  •  Ensure overall safety and security of the hospital premises with support teams
  • Oversee visitor management, ensuring safety and appropriate arrangements (including accommodation where required)

6. Procurement & Resource Management

  •  Ensure procurement processes follow organizational policies and standard norms
  • Coordinate purchasing activities and resource availability

7. Coordination & Planning

  • Work closely with the Hospital Management Team on weekly planning and implementation
  • Organize regular Team meetings and follow up on action points
  • Facilitate coordination between departments to ensure integrated operations
  • Support decision-making through operational insights

8. External Relations & Government Liaison

  • Manage government liaison with Ministries, Departments, and Offices of the Government of Nepal on matters such as hospital registration, visas, agreements, and customs clearance
  •  Ensure regulatory coordination and compliance with all applicable governmental requirements
  • Act as the hospital’s representative for institutional engagement with external authorities and stakeholders

Education & Experience

  •  Master’s degree in Hospital Administration, Healthcare Management, Business Administration, or MBBS with a Professional qualification in Hospital Management.
  •  5 years of relevant experience in hospital or healthcare administration, preferably in a similar organizational setting.
