Major Job Roles

• Assist the Hostel Warden in ensuring the health, safety, hygiene, discipline, and overall welfare of all hostel students.
• Act as the immediate in charge of the hostel during the absence of the Hostel Warden and ensure uninterrupted hostel operations.
• Supervise students’ daily routine including wake up time, personal hygiene, meals, study hours, recreation, lights out, and attendance.
• Conduct regular room inspections to ensure cleanliness, discipline, and proper maintenance of hostel facilities.
• Monitor student behavior and provide timely counseling and guidance whenever required.
• Assist in maintaining complete student records including attendance, health records, disciplinary records, parent communication, and incident reports.
• Coordinate student movement for meals, sports, outings, medical appointments, and other scheduled activities.
• Support the Hostel Warden in maintaining hostel discipline and enforcing hostel rules and regulations.
• Report any medical emergency, disciplinary issue, safety concern, or maintenance requirement immediately to the Hostel Warden.
• Assist in organizing academic support sessions, evening study supervision, and remedial support for students whenever required.
• Build positive relationships with students by providing mentorship, emotional support, and guidance while maintaining professional boundaries.
• Assist in coordinating with parents regarding student wellbeing and progress whenever assigned.
• Conduct routine safety checks of hostel rooms, washrooms, common areas, and hostel premises.
• Assist in maintaining inventory of hostel furniture, equipment, sports materials, and other hostel assets.
• Coordinate with Operations, Administration, Security, Kitchen, Housekeeping, and Maintenance teams for smooth hostel functioning.
• Be available during emergencies and extend duty hours whenever required for student safety and hostel operations.
• Prepare daily reports, incident reports, attendance reports, and other documentation assigned by the Hostel Warden.

Sports and Student Development Responsibilities

• Plan and conduct daily physical fitness sessions for hostel students.
• Organize and coach students in at least one discipline such as Karate, Taekwondo, Martial Arts, Athletics, Physical Training, Yoga, or other recognized sports.
• Promote physical fitness, self discipline, teamwork, leadership, and healthy lifestyles among hostel students.
• Organize morning exercises, evening sports activities, and weekend recreational programs.
• Identify talented students and encourage participation in internal and external competitions.
• Ensure safe use of sports equipment and maintain discipline during all physical activities.
• Coordinate with the Sports Department and school management for sports events and training programs.

Job Specification

The Assistant Hostel Warden shall:

• Possess strong leadership and student management skills.
• Be physically fit and capable of supervising hostel and sports activities.
• Have practical knowledge or certified training in Karate, Taekwondo, Martial Arts, Physical Education, Athletics, or equivalent sports disciplines.
• Demonstrate the ability to motivate, mentor, and counsel adolescent students.
• Be approachable, patient, responsible, and capable of maintaining confidentiality.
• Have good communication skills in English and Nepali.
• Possess basic computer skills including MS Office and Google Workspace.
• Be capable of preparing reports, maintaining records, and documenting incidents accurately.
• Be willing to stay on campus and respond to emergencies whenever required.
