ROLE PURPOSE
This role will support Plan International Nepal’s Country Office to ensure Admin, Logistics and Procurement activities are in line with organizational objectives complying with the policies and procedures.
Description
DIMENTIONS OF THE ROLE
The Operations Assistant is responsible for supporting the existing operations team to carry out administrative and procurement functions within Plan Nepal’s country program. Whilst the responsibilities below cover the main aspects of the role, this may change due to the evolving situation and it is not limited to all listed below.

External relationships and representation: Suppliers/Vendors/Consultants/Government Offices
ACCOUNTABILITIES
Support to establish supply chain system: 40%
- Responsible for pre-listing supplier’s (Vendors and consultants) data base (roster) and ensure that enough suppliers (Vendors & consultants) are in roster to supply goods and service for Plan International Nepal.
- Carry out regular supplier’s due-diligence check (registration, affiliation, PAN/VAT and tax clearance of the suppliers as required and update the status in a yearly basis.
- Support for establishing Long Term agreement (LTA) to supply required goods and services.
Procurement functions: 40%
- Carry out procurement activity in close consultation with procurement coordinator and ensure that all purchases are processed in accordance with the Supply Chain Operational Manual and applicable statutory requirements.
- Prepare appropriate filing system of procurement documents for signature / action, as necessary to ensure proper filing is in place.
- Responsible for purchase order creation, maintenance and data cleansing on SAP.
- Update purchasing tracker in a real time basis as purchasing functions progress.
- Update LTA tracker as required.
Others: 20%
- Provide regular support to regional offices (Jankapur and Surkhet) as and when needed to carry our supply chain function.
- Any other function as assigned by the line manager.
Ensures that Plan International’s global policies for Child Protection (CPP) and Gender Equality and Inclusion (GEI) are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility. This includes, but is not limited to, ensuring staff and associates are aware of and understand their responsibilities under these policies and Plan International’s Code of Conduct (CoC), their relevance to their area of work, and that concerns are reported and managed in accordance with the appropriate procedures.
TECHNICAL EXPERTISE, SKILLS AND KNOWLEDGE
Essential
- Minimum of 2 years work experience in Administration, Procurement and Logistics.
- Bachelor’s Degree in Business, Management.
- Experience in handling logistics and procurement.
- Fluency in English written and spoken.
- Knowledgeable in Microsoft word and proficiency in excel application.
Desirable
- Effective communication skills, both in written and verbal forms in order to establish effective relationships with a wide range of audiences, including at a geographical distance.
- Training in supply chain / logistics / procurement are an added advantage.
- Ability to think and act fast.
- Strong sense of urgency and work ethic.
- Resourceful and focuses on the solution rather than the problem.
- Working knowledge of SAP ERP.
- Awareness and sensitivity of self and others: Demonstrates awareness and sensitivity to gender and diversity. Have experience and the ability to live and work in diverse cultural contexts in a culturally appropriate manner.

PHYSICAL ENVIRONMENT
This position is based in Plan International Nepal Country Office with very less travel to project districts, municipalities and community as required.
