What is the purpose of this role?

The primary purpose of this role is to support for smooth functioning of the front desk and admin functions at the Institution. Reporting to the Administration Manager, S/he will be responsible for effective front desk, cash fund transactions, air ticketing, accommodation and events support, maintenance & repair and general administrative support at the Institution. This role will support office operations for its effective and efficient delivery.

Roles and Responsibilities

  • Provide excellent service experience to all visits received in the office.
  •  Deliver messages promptly to different areas.
  • Answer all incoming and internal calls with cordiality and respect.
  • Transfer Responsible for receiving all office visitors, answering the phone lines for each department, taking and distributing messages, mail and documents to all staff members when received.
  • Responsible for receiving and delivery of official documents and sensitive information keeping a record and logbook per office policies. Maintain and update filing system to track all incoming and outgoing letters and documents
  •  Assist office staff members as needed.
  •  Deal with staff requests with high sensitivity and confidentiality
  •  Supporting and coordinating the induction of newly hired employees, long-term consultants, and interns
  • Administer staff insurance policies under the guidance of the HR Officer.
  •  Maintain accurate records of insurance policies and serve as the point of contact for insurance-related queries from staff
  • Process insurance claims and liaise with insurance providers as needed
  • Support in a smooth transition during the end of employment
  • Briefing company roles and regulation to new joining staff, KYC updates, attendance, Introduction and bank account.
  • Developing and maintaining personnel files and databases of program staff, consultants, and fellows both in hard copy and electronically
  •  Responsible for updating emergency contact information of staff members and update all contact list
  • Contribute to the receiving all purchased goods and maintain inventory of expandable and non-expandable items as needed.
  •  Responsible for updating the staff directory.
  • Raise requisition in the system as per the request from the team for the purchase of goods and services.
  • Monitor and keep records of guards, drivers and cleaning staff duties by updating their leaves and information in the system.
  •  Check and update office supplies, first aid kits, kitchen supplies, cleaning supplies as well as their management.
  • Track vehicle repair and maintenance as well as update in the logbook
  •  Track maintenance/servicing of office premises and equipment.
  •  Assist in photocopy, printing and scanning documents
  •  Undertake any other roles, tasks, or projects as delegated by the Head of Departments, especially when there are team member absences or specific needs for specialized support.

Qualification and Experience

  •  At least +2 or enrolled in Bachelors in Business, Finance, Management, Administration
  • Any experience in front desk and or in administration will be preferable
  • Basic written and verbal communication skills in English.
  • Good interpersonal skills and team spirit.
  • Proficient using Microsoft Office tools.
  • Communicating both one to one and in groups in writing, verbally, presentations and reports, in English, Nepali
  • Ability to facilitate clear and efficient communication across various departments
  • Proven ability to manage multiple tasks and projects simultaneously
  • Detail-oriented with strong documentation and record-keeping abilities
  • Ability to work well in a team and adapt to a multicultural work environment

Remuneration

This is a local position for Nepali nationals only. Remuneration is commensurate with experience and qualifications. Salaries and benefits at Sagar Group are competitive compared with other companies.
