The Administration Manager is responsible for overseeing daily operations and ensuring smooth office management by coordinating administrative tasks, managing support staff, and handling communication with stakeholders. This role involves managing office supplies, maintaining records, organizing events, and playing a key part in budgeting, financial planning, and ensuring compliance with company policies. The Administration Manager serves as the primary point of contact for administrative inquiries, resolves operational issues, and implements procedures to enhance efficiency, requiring strong organizational, leadership, and communication skills.

Qualification and Experience

Job Description

Vendor Management

  • Conduct vendor thorough performance evaluations using KPIs, SLAs, and qualitative assessments.
  • Ensure vendors comply with contractual obligations and policies while addressing and resolving non-compliance effectively.
  • Establish and nurture long-term partnerships with vendors, ensuring the highest levels of reliability, quality, and responsiveness.
  • Communicate with vendors to resolve issues and foster collaboration.

Procurement

  • Develop and align procurement plans with organizational goals and budgetary constraints.
  • Oversee the full procurement lifecycle, from planning and solicitation to vendor evaluation, selection, and contract management for major projects using methods such as EOI, RFP, and RFQ.
  • Work closely with senior leadership to ensure financial goals are met.
  • Collaborate with the procurement unit to assist in the selection of vendors. Evaluate potential vendors for their ability to meet the organization’s needs including cost effective, quality & reliability.
  • Identify the right vendors & sourcing strategies based on the organization’s needs, trends & market conditions. This may involve global sourcing, local sourcing, or diversifying the vendors for risk reduction.
  • Prepare the documents for conducting procurement method, including instructions, guidelines, application letter format, LOI, announcement, etc.
  • Prepare a draft of justification write-up for the selection of the vendor & approval of procuring goods & services in consultation with the Administration Head
  • Manage procurement budget, ensuring that expenses align with the approved budget.

Disposal

  • Identify and implement opportunities for the disposal of obsolete or surplus assets, ensuring full compliance with organizational policies.
  • Collaborate with internal departments, including the SOC & Systems team, to securely manage the disposal of sensitive or informative assets.
  • Ensure that confidential information is properly handled and protected throughout the disposal process, in alignment with SOC & Systems Department protocols.
  • Develop, update, and enforce disposal policies and procedures, ensuring adherence to legal, regulatory, and organizational requirements.

General Administration

  • Supervise and lead administrative staff, ensuring efficient execution of tasks and responsibilities.
  • Oversee and streamline administrative processes, addressing operational challenges and identifying inefficiencies to implement solutions for improved efficiency.
  • Play a pivotal role in managing the administrative aspect of organizational campaign plans, and other engagement activities
  • Plan and coordinate administrative activities and special projects, including event management, office relocations, and renovations.
  • Establish key performance indicators (KPIs) to evaluate the performance of the administrative team.
  • Serve as the first point of contact for internal and external customers/guests.
  • Act as the primary point of contact for internal/external and ISO audits related to the administration department, ensuring accountability throughout the audit process.
  • Prepare the annual budget for the administration department in collaboration with the CEO/CSO, under the supervision of the Group Administration Head.
  • Analyze and present expense trends for each vertical and develop improvement plans.
  • Conduct cost analysis and propose strategies for cost control and optimization.
  • Liaise with regulatory bodies, government agencies, authorities, partners, and clients for office-related matters.
