RECOFTC operates in the Asia-Pacific region, with country program offices in Cambodia, Indonesia, Lao PDR, Myanmar, Nepal, Thailand and Viet Nam. RECOFTC is currently seeking an Administrative and Procurement Associate for the Center for People and Forests in Nepal for its Scaling-up Equitable Governance in Area-Based Conservation (SEGA) project. The position is open to external candidates who are Nepalese nationals. The selected candidate will be offered a 24-month contract with possibility of
extension, contingent on project funding availability and satisfactory performance. About Center for People and Forest – RECOFTC Nepal The Center for People and Forest (also known as RECOFTC Nepal), a registered not for profit company in Nepal, is a local entity of RECOFTC.

About the project

RECOFTC Nepal is implementing a four-year project “Scaling-up Equitable Governance in Area-Based Conservation” (SEGA) across 12 sites in Nepal, starting July 2024. SEGA is a multi-country initiative involving Bolivia, Kenya, Madagascar, Nepal and Tanzania. It is funded by the Darwin Initiative and led by the International Institute for Environment and Development (IIED). The project aims to foster equitable governance of protected and conserved areas in alignment with the Global Biodiversity Framework’s 30×30 target. By concentrating on key sites, SEGA seeks to scale up stakeholder-led actions that promote equitable governance, thereby
enhancing both social and conservation outcomes.

Tasks and duties

The Administrative and Procurement Associate is a member of the Center for People and
Forests and will work under the direct supervision of the Administrative and Finance Officer. The
Associate is responsible for ensuring smooth operation of administrative and procurement
processes and supporting program activities through his/her services.

Specific tasks and duties:

Administration

  • Manage office administrative procedures, and assess, and implement new processes in
    compliance with RECOFTC Nepal’s policies and procedures
  • Manage office stationery and training materials,
  • Provide logistics support for trainings and workshops
  • Assist in setting up meetings as required, and prepare meeting minutes
  •  Support the Administrative Finance Officer in creating the budget for supplies
  •  Supervise petty cash management
  •  Coordinate and plan accommodation, visa, and tickets for domestic and international visits
  •  Support in banking transactions (cash withdrawals, deposits and other banking-related work)
  •  Supervise to keep office spaces clean and organized
  • Keep inventory and maintenance of all office assets and ensure they are in good working
    condition

Procurement

  • Handle procurement such as purchasing equipment, supplies and disposal of assets;
  • Support to procure services in a transparent manner as per RECOFTC Nepal policies including
    conflict of interest policy
  • Keep up-to-date records of purchase requisitions, quotations, purchase orders, goods
    received notes, etc.
  •  Maintain roster of suppliers for frequently purchased goods
  •  Assist staff as needed in creating clear and understandable purchase requests and other
    documentation
  •  Collects quotations and bids from the market for PRs as per organizational standards and
    formats
  • Prepare the required documentation of supplies and transactions

Documentation and recording

  •  Maintain personnel files of all staff at RECOFTC Nepal office
  •  Write general letters and documents in English and Nepali as needed
  •  Ensure adequate supporting documents while forwarding invoices to finance for payment.
  •  Support Administrative and Finance Officer in preparing contracts with partners/suppliers etc.
  • Collect data and generate administrative reports and correspondence

Others

  •  Any other responsibilities assigned by the Administrative and Finance Officer

Qualifications and experience

The Administration and Procurement Associate should have the following essential qualifications
and experience:

Essential

  • A bachelor’s degree in accounting, finance or related field
  •  Minimum of two years’ relevant experience with specific knowledge of general accounting,
    voucher preparation and documentation
  •  Experience in managing and updating proper administrative records
  • Proficient in application software such as the MS Office suite (Excel, Word, PowerPoint) and
    familiar with accounting software will be an advantage
  • Demonstrate effective interpersonal skills, creative problem-solving and conflict management
    skills
  • Good verbal and written communication in English and Nepali
  •  Must be a Nepali national
