This position will be based in Simara.

Job Summary

The Administrative Assistant is responsible for providing administrative, operation, and logistical support for the USDA project in Simara, Bara, in accordance with organizational policies. Key responsibilities include managing travel and accommodation logistics, as well as handling front desk duties. The core functions of the Administrative Assistant encompass a range of administrative, secretarial, and logistical tasks as needed.

Roles and Responsibilities

Administrative and Logistics support

  • Provide administrative and logistical support for the daily operations of the office
  • Serve as the receptionist for LWR visitors, answer phone calls, and take messages for staff; and act as the welcoming face of the organization supporting both internal and external clients
  • Keep an updated list of relevant telephone numbers and addresses; update and distribute office extensions and phone lists to staff.
  • Provide operational support by ensuring the office is well-maintained and all equipment is in proper working condition.
  • Manage payment of office bills (electricity, water, telephone) and monitor usage for efficiency.
  • Coordinate daily staff transportation and ensure efficient scheduling. Collect and review vehicle logs weekly, verifying that all forms are properly signed and approved.
  • Oversee vehicle log sheets, office expenses, and fuel usage.
  • Maintain the inventory of office assets for the Bara office.
  • Ensure meeting rooms are well-kept and manage booking schedules and appointments.
  • Provide logistical support for local staff travel, including air ticket reservations, transportation, visas, and hotel bookings.
  • Coordinate travel arrangements for in-country group visits and personnel from headquarters.
  • Type letters and document meeting proceedings/minutes.
  • Work with assigned staff to ensure office furniture and equipment are in good condition and report any maintenance needs.
  • Maintain a filing system (both hard copy and electronic) for supporting documentation, including incoming and outgoing letters, annual reports, lease agreements, and LWR forms.
  • Coordinate introductions and orientations for newly hired staff.

Financial

Assist with audit exercises in coordination with the Senior Finance Manager

Education & Experience

  • Bachelor’s degree in finance, accounting and business administration/management or a relevant field from an accredited institution
  • At least one (1) year of experience in Finance, Procurement and operations, administration, and logistics support.
  • S/he should be proficient in relevant computer applications and databases
  • S/he should have a good knowledge of using Ms office
  • S/he should have a good knowledge of using accounting software
  • S/he should have a demonstrated ability to apply generally accepted accounting practices
  • S/he should have a good communication skill in both Nepali and English languages
