Administrative Assistant – Inclusion Economics at Governance Lab

Governance Lab, is a research based think tank that enables the government to make evidence-based policy decisions by conducting policy research, strengthening policy implementation capacity and fortifying research and governance ecosystems. Through the Leadership for Economic Governance Program, it enables local governments to dissect economic growth challenges, learn leadership and management skills and execute team-based public innovation pilots.
Inclusion Economics Nepal at Governance Lab is an initiative affiliated with Inclusion Economics at Yale University, founded and based out of the Yale Economic Growth Center and MacMillan Center, it enables inclusive economies and societies through research and policy engagement. Some of our key current and past research includes: understanding inclusive political and economic growth in the context of Nepal’s recent federal transition, MSE growth, dignity of labor, accelerating women-led MSEs.
Job Description
Admin Responsibilities:
- Provide support to the Research Manager in survey management and other field-based project activities
- Provide support for both phone and in-person surveys by assisting in enumerator hiring, providing administrative and technical support in disseminating and troubleshooting survey tools, and preparing field packets.
- Arrange travel logistics for field surveys, including travel arrangements, accommodation,handling of data collection gadgets and tracking team progress.
- Manage procurement processes, including soliciting quotations, vendor selection, and drafting contracts, records management, etc as per the institutional policy.Admin Responsibilities:
- Maintain records of inventories, office equipment, and expenses according to institutional standards
- Help implement organizational policies and procedures as required.
- Support any other project-related tasks as and when required including dissemination of periodic reports, website contents, and other correspondence materials to various stakeholders.
- Support and participate in Govlab events, periodic knowledge-sharing and team building activities.
Finance Responsibilities:
- Maintain records of all expenses, purchases and other financial transactions. Prepare the report as per the standard procedure to acquire approvals and forward to the Finance Team for further processing. Ensure regular followup for timely payments.
- Assist in preparing a budget for field survey, office equipment and supplies.
HR Responsibilities:
- Maintain and update staff records, leave records and related HR documents of all full time and part time staff, consultants and enumerators, and provide necessary support to the People’s Operations Officer in record keeping.
- Assist in recruitment processes by posting job openings, screening applications, and setting up interviews. Assist Research Manager to finalize recruitment of survey teams and support People’s Operations Officer during recruitment of IEN staff and consultants.
- Prepare experience letters/ certificates for the field staff and surveyors and coordinate handing out to them on a timely basis.
- Prepare the onboarding packet well in advance for new recruits and initiate offboarding process for staff to ensure on-boarding and off-boarding of employees at IEN is carried out smoothly and as per the institution’s policy.
Qualifications
- At least a Bachelor’s degree in business administration, development, social sciences or other related fields with preferably 1-2 years of work experience.
- At least 1-2 years of experience working in a research specific project or program setting is preferred.
- Excellent organizational and time management skills to coordinate various tasks effectively.
- Proficiency in office software such as Microsoft Office Suite (Word, Excel, Power Point), Google Workspace and email automation tools.
- Skills on operating design tools such as canva, photoshop will be an added advantage.
- Strong attention to detail and accuracy in handling administrative tasks.
- Clear and effective written and verbal communication skills to interact with team members, vendors, and other stakeholders.
- Excellent oral and written communication skills in Nepali and English.
- Ability to draft professional emails, memos, letters and reports.
- Understanding of research methodologies and processes to provide support to the research manager and project team.
- Familiarity with survey management tools and software is an added advantage.
- Understanding of financial management and accounting. Experience in maintaining financial records, including expenses, purchases, and other financial transactions.
- Strong interpersonal skills and ability to work collaboratively within a diverse team.
- Ability to exercise self-control and make informed decisions during uncertainties.
- Willingness to visit research project sites as necessary.
Additional Information
Compensation: Governance Lab will provide compensation on a monthly rate basis. The rate will be mutually agreed upon, commensurate with the level of the required deliverables, the qualifications and experience of the candidate.
