About the organization

Center for Research and Sustainable Development Nepal (CREASION) is a not-for-profit organization that was established in 2005. Since it was founded, CREASION has been a leader in environmental protection in Nepal through recycling, research, emergency response, grassroots and circular economy related interventions. CREASION also houses innovative, impact-based projects as well as a learning center for youth. CREASION’s work is majorly centered around four thematic areas; Environment and Sustainability, Disaster Risk Reduction, Education and Advocacy, and Youth and Volunteerism.

Purpose of the Role

The Operations and Administrative Officer will be responsible for coordinating day-to-day task management within the organization. This role requires multitasking across a range of responsibilities, including scheduling, handling payroll and accounting activities, receiving and forwarding communications, and taking care of other general duties.

RESPONSIBILITIES AND DELIVERABLES

Operations Management

  • Oversees daily support activities
  • Identify key areas of improvement, plan administrative processes, establish guidelines, and implement protocols
  • Ensure that operational activities remain on time and within budget
  • Track staffing requirements, and propose the hiring of new employees as needed
  • Lead, motivate, and support the team within a time-sensitive and demanding environment, including problem resolution
  • Assist the human resources department with payroll and personnel databases
  • Ensure functionality of necessary office equipment, and requisitioning new equipment and supplies as needed

Coordination, Communication and Monitoring

  • Oversee and provide support to the team of CREASION to enhance performance
  • Ensure completion of all administrative tasks
  • Coordinate with executive management and other managers to ensure alignment with the organization’s mission, vision, core values, and objectives
  • Track team performance and ensure the quality of work
  • Creating reports and memos as needed
  • Offer assistance in organizing events, including ordering materials and requisitioning event spaces
  • Maintain constant communication with managers, staff, and vendors to ensure proper operations of the organization
  • Increase the efficiency of existing processes and procedures to enhance the organization’s internal capacity

QUALIFICATIONS AND SKILLS:

  • Bachelor’s degree (or equivalent) in management, business administration, or related field
  • Three years of experience in relevant field
  • Strong skills in budget development and oversight
  • Good interpersonal skills
  • Time management and ability to prioritize multiple tasks
  • Proficient in word processing, excel, spreadsheets, and presentation tools
  • Good leadership qualities and communication skills
  • Ability to work under pressure to meet deadlines

ESSENTIAL COMPETENCIES:

  • Excellent ability to delegate responsibilities while maintaining organizational control
  • Proficiency in conflict management and business negotiation processes
  • Knowledge of business productivity software and an aptitude for learning new applications
  • Excellent planning, organizational, and project management skills
  • Prior experience of working in an NGO or similar organizations is an added bonus
