Position Summary

The Executive Secretary to the Managing Director plays a pivotal role in supporting the efficient functioning of the Managing Director’s office. This role requires a combination of administrative expertise, impeccable organizational skills, and exceptional interpersonal abilities to facilitate seamless communication and operations within the organization. The primary responsibility is to serve as the key liaison between the Managing Director and various internal and external stakeholders, ensuring that the Managing Director’s time is optimized and that all tasks and commitments are handled efficiently.

Major Roles And Responsibilities (Job Details)

  • Calendar Management: Effectively manage the Managing Director’s calendar, including scheduling appointments, meetings, and conferences, while ensuring optimal use of time and prioritizing conflicting demands.
  • Communication: Serve as the primary point of contact for internal and external stakeholders, screening and prioritizing communication, including emails, phone calls, and other correspondence addressed to the Managing Director.
  • Meeting Coordination: Coordinate and schedule meetings, prepare agendas, distribute materials, and take minutes when required. Ensure that the Managing Director is well-prepared for all meetings and events.
  • Travel Arrangements: Arrange travel itineraries, accommodations, and transportation for the Managing Director, ensuring seamless logistics and cost-effectiveness.
  • Administrative Support: Provide comprehensive administrative support, including drafting and editing correspondence, preparing reports, presentations, and other documents as required.
  • Information Management: Maintain accurate and up-to-date records, files, and databases, ensuring confidentiality and accessibility of information as needed.
  • Project Assistance: Assist in the planning, coordination, and execution of special projects, initiatives, and events as directed by the Managing Director.
  • Relationship Management: Cultivate and maintain positive relationships with key stakeholders, both internal and external, representing the Managing Director professionally and effectively.
  • Confidentiality: Handle sensitive information with discretion and confidentiality, maintaining the highest level of professionalism and integrity at all times.
