Job Description:

The purpose of this traineeship is to assist Admin And Finance Coordinator in overall Financial, Procurement, and Supply Chain administration such as financial record keeping and accounting, checking financial and supporting documents to release suppliers’ payment and employees claim, processing petty cash payment, filing and documentation, assets, and inventory management and procurement administrations. The trainee aims to learn and develop practical skills in financial, procurement, and supply chain processes and procedures in WVIN’s context by working together with assigned teams/individuals as per assigned tasks and assisting to achieve WVIN’s goal. The trainee is also expected to support other functions (MEAL, Finance etc) of Urban Program Office as per the need.

  • Prepare journal vouchers and hold in SunSystem as guided by Supervisor
  • Petty cash payment and maintain up to date records and prepare petty cash voucher
  • Prepare bank deposits and maintain up to date records and prepare receipt vouchers
  • Assist in preparing monthly financial reports.
  • Support in collecting authorized payment documents from Supply Chain and perform arithmetic and approval checking as per the WVIN standard procurement, financial and accounting procedures and forward to Finance Coordinator for payment.
  • Review calculation and invoices of medical Claims of the Urban staff as per the WVIN medical policy.
  • Assist in review and record employee EER (Employee Expenses Report) in accordance with the WV FM Guidelines.
  • Support in the systematic filing system of key documents (in hard copy and soft copy) as per FFM manual.
  • Assist in preparing and uploading/e-filing of procurement/sourcing documents on SCAI system
  • Assist to compile suppliers’ information including supplier’s names, addresses, and bank details.
  • Support in updating suppliers information in the system i.e. SCAI
  • Support in day-to-day asset management function: issue and receipt to different departments including PNGOs, record-keeping and documentation, codifying, temporary movement update in asset register, preparation loss and damage reports, perioding physical verification etc.
  • Support in procurement administration: Market Assessment and Supplier Pre-Qualification, drafting the RFQ/RFP documents for different GWS, collect and prepare bid analysis report including preparation of procurement committee submission documents and meeting minutes, preparation of master data management(contract and supplier register), communication with supplier and internal customer, sourcing/procurement compliance and documentation, procurement and supply chain reporting and analyzing etc.
  • Support Urban MEAL for technical program baseline evaluation (NRL and PCESP).
  • Support in producing learning documents and evidences.
  • Data verification and validation
  • Support Urban MEAL as required and needed.

Required Education, training, license, registration and certification

  • At least a Bachelor’s Degree in a Management – Finance

Preferred Knowledge and Qualifications

Knowledge

  • Basic knowledge of accounting theory and financial analysis required. Experience in financial reporting preferable.
  • Competent in the use of Microsoft Office computer programs including Word, Excel, PowerPoint
