Job Description:

MAJOR RESPONSIBILITIES

Reporting and Record Keeping

  • Assist to prepare journal vouchers and hold in Sun System as guided by Supervisor
  • Prepare and maintain up to date records and prepare receipt vouchers
  • Assist in accounts reconciliation including cash and bank reconciliation on monthly basis
  • Assist in tracking and recording original invoices from staff and vendors.
  • Assist in compiling monthly management report from partner NGOs finance.
  • Assist to compiling assets register from partner NGOs.
  • Assist in recording and reporting to the risk-based financial monitoring findings.

Systematic Filing

  • Maintain a systematic filing system of key documents (in hard copy and soft copy) as per FFM manual.

Suppliers’ management

  • Assist in compiling suppliers’ information including supplier’s names, addresses, bank details and block party screening (BPS) report from the Supply Chain Management Unit.

Payment Management

  • Collect authorized payment documents from Supply Chain Management and perform arithmetic and approval checking as per the WVIN standard procurement, financial and accounting procedures and forward to Finance Officer for payment.
  • Review calculations and invoices of medical Claims of the WVIN staff and send them to the National Office P&C for payment process.
  • Assist in recording Employee Expenses Report (EER) in accordance with the WV Financial Manual & Guidelines.
  • Assist in preparing payment tracker for both employees and vendors.

Tax administration

  • Prepare tax deposit and verify TAX and VAT documents using E-TDS.
  • Prepare E-TDS certificate and provide to suppliers as per needed.

KNOWLEDGE/QUALIFICATIONS FOR THE ROLE

Required Education

  • At least a Bachelor’s Degree in a Management – Finance

Preferred Knowledge and Qualifications

Knowledge

  • Basic knowledge of accounting theory and financial analysis required. Experience in financial reporting preferable.
