About

We are seeking a highly motivated and experienced Front Desk Executive to join our dynamic team. A Front Desk Executive is responsible for handling the reception area, greeting visitors, managing calls, and assisting with administrative tasks. This role is crucial in creating a positive first impression for customers and clients.

Job Responsibilities

1. Reception & Guest Handling

  • Greet and welcome visitors
  • Maintain visitor records
  • Guide guests to the appropriate department

2. Phone & Email Communication

  • Answer and route phone calls
  • Respond to emails and inquiries
  • Schedule appointments and meetings
  • Handle phone calls, emails, and other inquiries, acting as a point of contact for the executive.

3. Administrative Support

  • Maintain office supplies and records
  • Assist in data entry and documentation
  • Handle courier and mail services
  • Prepare reports, presentations, and other documents for meetings and presentations.

4. Coordination & Assistance

  • Assist HR and management as needed
  • Manage conference room bookings
  • Support internal communication.

5. Scheduling and Calendar Management:

  • Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate complex travel arrangements, including flights, accommodations, and transportation.

6. Meeting Management:

  • Prepare meeting agendas and materials.
  • Facilitate meetings, taking minutes and ensuring follow-up actions are addressed.
  • Coordinate meeting logistics, including venue selection, catering, and technology setup.

7. Other Duties:

  • Handle expense reports and reimbursements.
  • Assist with special projects and tasks as assigned by the executive.
  • Maintain a professional and efficient office environment.

Job Requirements

  • Good communication skills (English, Nepali, and Hindi,if needed)
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and office management software.
  • Customer service and interpersonal skills.
  • Organizational and multitasking abilities.
  • Ability to multitask and work efficiently under pressure.

Job Details

  • Education: Bachelor’s degree in Business Administration, Management, or currently pursuing a Bachelor’s degree.
  • Experience: Prior experience in a receptionist, or front desk role is preferred or freshers can also apply.
