Front Desk Executive
About
We are seeking a highly motivated and experienced Front Desk Executive to join our dynamic team. A Front Desk Executive is responsible for handling the reception area, greeting visitors, managing calls, and assisting with administrative tasks. This role is crucial in creating a positive first impression for customers and clients.
Job Responsibilities
1. Reception & Guest Handling
- Greet and welcome visitors
- Maintain visitor records
- Guide guests to the appropriate department
2. Phone & Email Communication
- Answer and route phone calls
- Respond to emails and inquiries
- Schedule appointments and meetings
- Handle phone calls, emails, and other inquiries, acting as a point of contact for the executive.
3. Administrative Support
- Maintain office supplies and records
- Assist in data entry and documentation
- Handle courier and mail services
- Prepare reports, presentations, and other documents for meetings and presentations.
4. Coordination & Assistance
- Assist HR and management as needed
- Manage conference room bookings
- Support internal communication.
5. Scheduling and Calendar Management:
- Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Coordinate complex travel arrangements, including flights, accommodations, and transportation.
6. Meeting Management:
- Prepare meeting agendas and materials.
- Facilitate meetings, taking minutes and ensuring follow-up actions are addressed.
- Coordinate meeting logistics, including venue selection, catering, and technology setup.
7. Other Duties:
- Handle expense reports and reimbursements.
- Assist with special projects and tasks as assigned by the executive.
- Maintain a professional and efficient office environment.
Job Requirements
- Good communication skills (English, Nepali, and Hindi,if needed)
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and office management software.
- Customer service and interpersonal skills.
- Organizational and multitasking abilities.
- Ability to multitask and work efficiently under pressure.
Job Details
- Education: Bachelor’s degree in Business Administration, Management, or currently pursuing a Bachelor’s degree.
- Experience: Prior experience in a receptionist, or front desk role is preferred or freshers can also apply.
