JOB POSITION: Front Office Receptionist
REPORTS TO: HR Coordinator
LOCATION: Central Office

KOSHISH, established in 2008, is a non-governmental organization dedicated to promoting mental health and psychosocial well-being in Nepal. Embracing the spirit of “NOTHING ABOUT US WITHOUT US,” KOSHISH advocates for the inclusion and meaningful participation of individuals with mental health conditions and psychosocial disabilities. KOSHISH actively engages in community-based mental health programs, awareness campaigns, and advocacy efforts. Our overarching goal is to mainstream mental health within the broader health system and societal domains, such as social protection, education, inclusion, and employment.

Overall Purpose:

The Receptionist serves as the first point of contact for KOSHISH, creating a professional, welcoming, and inclusive experience for all visitors, partners, and callers. The role is responsible for managing the front office efficiently by receiving and directing telephone calls, welcoming and assisting visitors, maintaining visitor records, coordinating appointments, and ensuring smooth day-to-day front desk operations. The Receptionist also provides administrative support, handles incoming and outgoing correspondence, and help maintain an organized reception area.

We are looking for a smart, confident, and customer-oriented individual with excellent communication and interpersonal skills. The ideal candidate should be proactive, well-organized, able to multitask, and capable of handling inquiries with professionalism, courtesy, and confidentiality while representing KOSHISH’s values and commitment to quality service.

Major Duties and Responsibilities:

Front Office and Visitor Management

  • Welcome and assist visitors, clients, and stakeholders in a courteous and professional manner.
  • Maintain visitor records and ensure visitors are directed to the appropriate staff member.
  • Keep the reception area clean, organized, and presentable at all times.

Telephone & Communication Management

  • Receive incoming telephone calls, respond to general enquiries, and direct calls to the appropriate staff members promptly.
  • Take accurate messages when staff are unavailable and ensure timely communication.
  • Handle incoming and outgoing correspondence, including emails, letters, and courier services, as required.

Administrative Support

  • Provide day-to-day administrative support, including scheduling appointments, coordinating meeting room bookings, maintaining office records, inventory of goods etc.
  • Support staff with routine administrative tasks and assist in the smooth functioning of office operations.
  • Maintain confidentiality while handling sensitive information and represent KOSHISH with professionalism and integrity at all times.

Safeguarding and Ethical Compliance

  • Ensure compliance with KOSHISH’s Safeguarding and Prevention of Sexual Exploitation, Abuse and Harassment (PSEAH) policies in all administrative and financial processes.
  • Promote a culture of respect, integrity, accountability, and ethical conduct within all financial and administrative activities.
  • Maintain confidentiality and ensure responsible handling of organizational and personal information.
  • Report any safeguarding concerns, suspected misconduct, or policy violations through appropriate channels in line with organizational procedures.

  • Must possess a valid two-wheeler riding license and be willing to travel for official administrative tasks when required.

Technical Competency

  • Minimum +2 level education with 1–2 years of experience in reception, front desk, or administrative roles.
  • Good communication skills in Nepali and English with proficiency in MS Office and email communication.
  • Ability to manage calls, visitors, records, and administrative tasks with professionalism and confidentiality.
