Human Resource Coordinator
Overall Responsibilities:
The coordinator will be responsible for support to the Human Resources overall function, ensuring that best HR practice is applied at workplace
The coordinator will be responsible for support the carryout the Human Resources functions of Helen Keller Intl Nepal program ensuring that best HR practices are applied across the country program, in all projects.
S/he will be responsible for overall to support HR functioned in country program and support to HR Manager in Conversations to Connect (C2C), recruitment, payroll management, staff contract management and other HR function in country program.
The position is responsible for ensuring HKI’s best practices are upheld, including adherence to the code of conduct, policies and procedures, financial accountability and making sure official matters are kept confidential.
As gender and social inclusion (GESI) is a cross-cutting and core component for HKI programs, all personnel are required to ensure GESI sensitivity and integration where they work.
Specific Roles and Responsibilities:
Policy & Procedures Development
- Support in develop and maintains a human resource system in consultation with line managers that meets management information needs and ensure maintainance of confidential personnel files and documentation.
- Ensure HR information systems, processes and filing procedures are maintained and developed where necessary.
- Support in review current HR procedures and practices, terms and conditions, in line with HKI policies, Labor Law and its best practices and ensure a system is put in place filing. Assist to write/update directives advising staff of organization policies.
Support and Capacity development
- Support in conduct training /orientation/ refresher sessions on HR policies and practices of code of conduct and other HR compliance requirements such as PSEAH, Fraud, Traffic in Persons, etc., to employees each year and keep records on file.
- Support and follow-up in preparing the final PE report to submit to CMT members.
- Suport in organizing capacity building trainings and motivational session.
- Support district team in enhancing HKI coordination, sharing and program implementation.
- Provide HR support to partner organization e. g. capacity assessment, review and development of partner organization HR policy, procedure and compliance, and conduct orientation/ refreshment when and as needed.
Recruitment and orientation
- Support in over recruitment process and documentation
- Support in developing TOR, JD and HR selection process in coordination with both supervisors and communicate with the line managers.
- Support in hiring of all individual consultants.
- Focal person for internship/ trainee program ensures HKI internship policy including TOR development and selection of interns/ trainee.
- Maintain records of expatriate movement for interns for transmission to Head Office/regional office.
- Plan and conduct new employee orientations to foster positive attitudes toward organization and project goals.
- Prepare PRF for vacancy announcement to job sites/ newspaper.
- Assist on service procurement.
Insurance Coverage
- Focal person for information to Insurance vendor for medical, accidental, critical illness enrollment for staffs, short term, interns/ trainee and consultants.
- Enrollment payment & refund process.
- Collection, verification, follow up & information on Medical Insurance reimbursement.
- Verification of employee and dependent details of insurance enrollment
Other Roles
- Support in preparing in Contracts / Modifications, transfer letters, experience
- Coordinate, follow-up and support for collection of Journy X
- SSF enrollment documentation
- Arrange and prepare PRF for ID card, Sim Card, visiting card and others if any
- Support and facilitate work life balance through various recreational events
- Ensure proper HR filing and keep them safe and confidential
Representation
- Representing the organization whenever there is a need
- Attending the in-house as well as outside meetings as per requirement
Qualifications and Competencies:
Education degree and experiences years:
- Bachelor’s degree in Management (preferably an MBA) from a valid college/university in relevant field with minimum 3 years of experience National/International agencies/institutions or in a relevant field.
- Familiar with HR and Administrative role
Communication skills:
- Excellent interpersonal and facilitation skills and mentoring of staff partners
- Good written and spoken Nepali and English language skills
Flexible and multitask:
- An ability to maintain balance when under stress.
- Experience using Excel, Word, and PowerPoint and other software’s:
- Computer literate and proficient with automated packages
