Job Description
Job Purpose:
The Knowledge Management and MEL Coordinator will be instrumental in strengthening Helvetas Nepal’s learning culture by integrating monitoring, evaluation, and learning (MEL) systems with effective knowledge management at the country office level. This position supports the Head of MEL & Governance to capture, organize, and disseminate organizational knowledge and learning, while contributing to MEL processes across programs. Additionally, the role encompasses responsibilies for providing executive coordination support to the Country Director in preparing strategic communications and coordinating key management and strategic initiatives led by the Country Director.
A. Key Roles and Responsibilities
1. Compliance to Policies, Rules/Regulations and Guidelines
- Adhere to policies, procedures, regulations and guidelines of HELVETAS Swiss Intercooperation (Code of Conduct; NPR-Nepal; Finance Manual; Security Response Guide; Gender Equality and Social Inclusion Guide; Mobbing, Sexual Harassment & Abuse of Authority; Code of Conduct Against Corruption etc.) and other specific policies applicable for organisational and donors’ visibility and communications guidelines.
2. Knowledge Management (30%)
- Design and implement a knowledge management strategy to facilitate the collection, storage, and sharing of programmatic and organizational knowledge across the Helvetas Nepal country program.
- Maintain an up-to-date, accessible repository of key documents, reports, case studies, and learning materials.
- Organize and facilitate KM & MEL Community of Practice (CoP) through knowledge-sharing events, workshops, and peer-learning sessions for program/project staff and their partners, in close collaboration with the program/project KM & MEL focal points.
- Document lessons learned and best practices, ensuring they are disseminated both internally and externally.
- Develop communication materials such as newsletters, briefs, and presentations to enhance organizational visibility and stakeholder engagement.
3. Monitoring, Evaluation, and Learning (MEL) (25%)
- Support the development and refinement of MEL frameworks, tools, and methodologies tailored to the country office and program/project’s needs.
- Collaborate with program/project teams to support data collection, analysis, and reporting activities.
- Assist in the preparation of organizational progress reports, evaluation briefs, and learning summaries.
- Facilitate adaptive learning by ensuring MEL findings inform program/project planning and improvement.
- Provide demand-led technical support and capacity building to program/project staff and their partners on MEL-related topics.
4. Executive Coordination (25%)
- Support the Country Director in preparing strategic briefs, background notes, and talking points for internal and external engagements.
- Conduct desk research and synthesize key insights on sectoral and organizational issues to inform leadership decisions.
- Coordinate and track follow-ups on key management and strategic initiatives led by the Country Director.
- Assist the Country Director in managing strategic communication with internal teams, partners, and external audiences.
5. Capacity Building (10%)
- Identify organizational capacity gaps related to knowledge management and MEL and provide targeted training and mentoring.
- Support program/project staff and their partners in adopting effective documentation, reporting, and learning practices.
6. Gender Equality and Social Inclusion (GESI) (10%)
- Ensure integration of GESI principles in knowledge management and MEL activities.
- Monitor, document, and report on progress related to GESI outcomes and promote inclusive learning approaches.
7. Other Responsibilities
- Professionally discharge other tasks as requested by the Line Manager.
- Be proactive in bringing innovations and taking new initiatives into the programme and the organization.
B. Job Requirements
Minimum Education:
- Master’s Degree in Development Studies, Information Management, Communication Studies, Public Policy, Sociology, Statistics, or related discipline.
Minimum Professional Experience:
- At least 5 years of working experience in knowledge management, MEL, or program/project coordination within development or humanitarian organizations.
- Experience supporting senior leadership or executive-level coordination is highly desirable.
- Familiarity with multi-sectoral development programming and donor reporting requirements preferred.
Required Competencies:
- Strong expertise in MEL systems and knowledge management frameworks applicable to complex organizations.
- Excellent writing, editing, and communication skills in both Nepali and English.
- Ability to synthesize information into clear, accessible formats for diverse audiences.
- Exceptional organizational and multitasking capabilities.
- Commitment to gender equality, social inclusion, and participatory learning principles.
- Proficiency in standard office and digital collaboration software.
- High degree of professionalism, discretion, and interpersonal skills.
