The Office Assistant plays a crucial role in ensuring the smooth and efficient operation of the office environment. They are responsible for providing administrative support to various departments, assisting with daily tasks, and contributing to the overall productivity and organization of the workplace. Additionally, the Office Assistant directly reports to the District Coordinator, collaborating closely to fulfill administrative needs and maintain effective communication channels within the district office.

Key Responsibilities:
- Assist with general office duties such as filing, photocopying, and scanning documents.
- Handle incoming and outgoing correspondence, including mail and emails, and ensure timely distribution to relevant staff.
- Maintain office supplies inventory and place orders as needed.
- Coordinate meetings, appointments, and travel arrangements for staff members.
- Assist in the preparation of reports, presentations, and other documents as required.
- Serve as the first point of contact for visitors, clients, and stakeholders, providing a professional and welcoming reception.
- Answer incoming calls, transfer calls to appropriate personnel, and take messages accurately.
- Respond to inquiries from staff and external parties in a timely and courteous manner.
- Manage the office email account, handling inquiries and forwarding messages to relevant staff members.
- Ensure the cleanliness and tidiness of the office space, including common areas, meeting rooms, and kitchen facilities.
- Monitor and maintain office equipment, such as printers, photocopiers, and fax machines, ensuring they are in good working condition.
- Liaise with building management and external service providers for maintenance and repairs as needed.
- Assist with the setup and coordination of office events, meetings, and conferences.
- Enter data accurately into electronic databases and systems, maintaining confidentiality and integrity of information.
- Organize and maintain physical and digital filing systems, ensuring easy retrieval and accessibility of documents.
- Assist with the preparation and distribution of internal communications, memos, and announcements.
Qualifications and Skills:
- A SEE (Secondary Education Examination) or equivalent qualification is required, with additional certification in office administration or a related field preferred.”
- Proven experience in an administrative or office support role, with strong organizational and multitasking abilities.
- Excellent communication skills, both verbal and written, with a professional and friendly demeanor.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software applications.
- Attention to detail and accuracy in completing tasks, with a proactive and resourceful approach to problem-solving.
- Ability to work effectively both independently and as part of a team, prioritizing tasks and meeting deadlines.
- Familiarity with office equipment and basic maintenance procedures.
