Administrative Officer – Tender

Location: Kathmandu
Education Level: Bachelor’s degree (preferably in Biological Science)
Experience Required: Minimum 4 years in Tender Related Work
Major Job Responsibilities:
- Overall tender responsibilities.
- Preparing the overall tender documents with the support of Administrative assistant.
- Checking the budget, specification required and finalizing all the mandatory documents before the Pre bid meeting.
- Corresponding with concerned companies and parties for the tender and sending those tender inquiries.
- Searching New companies for product specific Tenders if required.
- Complying the tender specification with the help of technical team.
- Preparing letter and documents for Pre bid if required.
- Attending the Pre Bid Meeting, and gathering all the necessary information.
- Preparing the budget sheet and finalizing the bid budget through Senior management.
- Submitting the tender after completion and verification.
- Attending Tender Opening and reporting the information.
- Handling all responsibilities if the tender is being awarded, Such as: Preparing Performance guarantee, Letter of Agreement, Billing, etc.
- Managing the goods to be delivered in the tenders with the help of concerned authorities.
- Providing the tender document (Specification and other required document) to the technical team for the installation of the equipment’s.
- Managing overall tender work till the goods are delivered, installed and payment is released.
- Corresponding with the assigned company for the Purchase order, Performa Invoice, Agreement, Rate negotiation and other necessary activities.
Secondary Job Responsibilities
- Preparing Quotations when required.
- Corresponding with concerned authorities for the rate finalizations.
- Assisting in all the tender and quotation related task.
- Guiding junior staffs for completing the given task.
- Handing over the tasks to tender team members according to the requirement and their eligibility.
- Handling the customers as per the requirements and solving their queries and issues with the coordination of concerned authority.
- Handling day to day administrative task.
- Preparing weekly report of the tasks and submitting it to the HOD.
