“A world where every child is educated, safe, and loved”. Kopila Valley Sewa Samaj is a non-profitable NGO registered in Surkhet, Nepal to provide support for children and families in our community. Our programs include a residential children’s home, women’s empowerment center, sustainability, school, health and wellness, and family development. We provide our students a free education, educational materials, health treatment and medicine, counseling, and a place to live. With our innovative future program, we strive to provide our children with career guidance, and scholarships for further studies. We do this with our funding partner BlinkNow Foundation and in close ties with the local government and communities.
About Futures Program
Futures program is one of the flagship programs of KVSS, which aims at preparing each child for independence and self-reliance through guidance counseling, career educaation programing, scholorships and higher education fund, and life skills workshops for life after Kopila Valley School.
Position Summary (Program Assistant):
The Program Assistant is responsible to support in planning, implementing, monitoring, and ensuring quality enrichment and counseling programs for KVS students and alumni so that children could develop their full potential and become self-reliant. The incumbent is excellent at planning, keeping records, communicating, and providing support to students and alumni. He/she will have a supporting role with various academic institutions and vocational training providers so as to run the futures program effectively. Responsible for daily, and weekly updates, periodic reports, and providing assistance to the Futures Program Coordinator.

Must Haves
Education: Minimum 10+2 (intermediate) (or PCL) graduate in relevant discipline
Experience: At least 1+ years of proven experience in relevant field
Language: A good communicator, and fluent in English and Nepali would be an added advantage
Skills and Abilities: Ability to self-manage, excellent communication skills and lead children, and their activities, passionate about and cares for children and vulnerable populations; initiator, and competent in managing operations and logistics in the organization, works collaboratively and independently with the least supervision required.

The Main Responsibilities

- Support Program Coordinator in collaborative and integrated interventions inter/intra programs
- Support KVS Alumni for their benefits and perform program base management activities
Detailed Responsibilities
Lead Program Documentation
- Make sure all the program-related information/documents are updated and documented.
- Support Program Coordinator in the participatory planning process, documentation, updates, and communications with KVS students and alumni
- Coordinating with supervisor, ensuring data entry, maintaining and updating details of students, alumni and managing database, including Apricot and other digital platforms
- Update the database, and keep track of records of alumni, especially scholarship support, payment, and reporting
- Support Program Coordinator to take meeting minutes and communications
Support Program Coordinator in collaborative and integrated interventions inter/intra programs
- Have knowledge about relevant program guides and policy/procedures of the Futures program so as to assist Program Coordinator
- Assist the Program Coordinator with the application process for higher education scholarships & with their selection process for the scholarships provided by KVS
- Assist the program coordinator to ensure budget spending realistically with timelines considering annual milestones and seasonal calendar and considerations and expenditure on a monthly basis
- Provide support to Program Coordinator to identify issues, gaps, and opportunities to provide efficient and effective guidance and counseling to alumni and students of KVS
- Support Program Coordinator to work collaboratively with the staff, teachers, and the management and programs team for student capacity development through organizing different activities, including organizing speakers’ series in-house and outside
Support KVS Alumni for their benefits and perform program base management activities
- Support KVS alumni for their benefits and build positive working relationships with alumni and with the program team.
- Assist to set annual goals and priorities so as to ensure deliverables on time to quality that directly benefits alumni and KVS students.
- Build positive working relationships and environment in the organization by bringing solutions to the discussion table
- Regularly participate in weekly 1:1 conversations with managaer
- Report to the manager on a weekly basis, and as needed in case of urgent activities
- Build and maintain a strong relationship with the staff, students, teachers, and relevant stakeholders
- Attend weekly staff meetings, and share operational updates
