Project Assistant – 3 position(s) – Female Only

Duty Station: Field Based (Madhesh Province)

Job Description

A. Job purpose:

The Project Assistant will support the implementation and monitoring of activities under the SheLeads Skills and Empowerment Project, with a focus on assisting the Project Officer in field-level operations, data collection, and reporting. This position will contribute to the project’s objectives of empowering young girls and women in Madhesh Province, ensuring smooth operations at the field level by providing administrative and logistical support to project activities.

B. Roles and Responsibilities:

Compliance with Policies, Rules/Regulations and Guidelines:

Adhere to Helvetas’ organizational policies, procedures, regulations, and guidelines (Personnel, Financial, Administrative policies; Security Response Guide; Gender Equality and Social Inclusion Guide; Sexual Harassment & Mobbing Policy; Code of Conduct Against Corruption, etc.)

Field Support and Data Collection:

a) Assist the Project Officer in conducting field visits to monitor project activities and ensure the effective implementation of interventions.

b) Support in collecting field-level data, ensuring accuracy and alignment with project goals.

c) Help in organizing and maintaining records of field-level data and ensure that the data is disaggregated as per project requirements.

d) Coordinate in the preparation of field visit reports, capturing progress, challenges, and insights.

Coordination and Logistics Support:

a) Assist the Project Officer in coordinating with local partners, stakeholders, and project participants.

b) Support in organizing training sessions, meetings, and workshops, ensuring logistical arrangements are in place.

c) Coordinate with local government stakeholders and community members for smooth field operations.

d)Help in the preparation and dissemination of materials for training and meetings.

Administrative Support:

a) Assist with administrative tasks such as preparing and managing project documents, reports, and correspondence.

b) Maintain an organized filing system for project documents, ensuring easy access.

c) Support the Project Officer in organizing project events, consultations, and stakeholder meetings.

Monitoring and Reporting Support:

a) Help the Project Officer with monitoring field activities and report on the progress of interventions.

b) Collect feedback from project participants and stakeholders to support the reporting process.

c) Assist in tracking the implementation of project activities, ensuring alignment with the project timeline.

Knowledge Management and Documentation:

a) Help document case studies, success stories, and lessons learned from the project.

b) Assist in compiling data and information for the development of project progress reports.

c)Support in preparing materials for the dissemination of key findings, reports, and publications.

Additional Tasks:

a) Provide general support to the Project Officer as needed in the day-to-day implementation of the SheLeads project.

b) Participate in team meetings and contribute to discussions based on field observations and feedback.

c)Perform other tasks as assigned by the Project Officer to ensure project success at the field level.

Additional Information:

C. Required Education, Experience, and Social Competencies:

Education & Experience:

a) Completion of intermediate level or plus two level.

b) At least 2 years of experience in supporting project implementation, data collection, or administrative tasks. Experience in working with young girls and women is an advantage.

Skills and Competencies:

a) Strong organizational, coordination and interpersonal skills.

b) Experience working in teams.

c) Ability to support data collection and reporting.

d) Basic knowledge of project implementation and monitoring processes.

e) Experience with logistics and administrative tasks.

f) Familiarity with using computers and digital platforms.

g) Fluency in written and spoken Nepali and English, knowledge of local languages is a plus.

h) Commitment to gender equality and social inclusion.

Additional Information

Preference will be given to the candidates of Madhesh Province.
