Senior Finance and Administration Assistant

Duty Station: Kathmandu

Duration: 5 years, with six months’ probation period

Required number: 1

The Senior Finance and Administration Assistant will be responsible for supporting day-to day finance and administration at ANSAB.

Essential Job Responsibilities

  • The specific duties and responsibilities of the Senior Finance and Administration Assistant include, but are not limited to, the following:

Finance

  • Collect all types of bills/ invoices, related supporting documents, verify the expenditure, obtain approvals from authorized officials and booking in the accounting system
  • Check Budget lines to ensure that all transactions are booked to the correct budget codes
  • Make payment to staffs, payments of utilities, office supplies, vendor and other stakeholder on timely basis
  • Follow up for the timely settlement of advance and make settlement
  • Ensure for TDS, timely deposit of tax and filing ETDS
  • Prepare monthly bank reconciliation statement
  • Handle Petty Cash (petty cash request, payments and deposits and reporting).

Administration

  • Draft letters, contract and other reports as required.
  • Set up and maintain an electronic and paper filling system.
  • Support to conduct the Internal Audit and Annual Audit.
  • Support for logistic arrangement for all events at project office including national flight reservations, hotel and vehicle arrangement.
  • Support for fleet management at project office (assigning vehicle, repair and safeguard, vehicle logbook and ensure timely renewal of vehicles).
  • Support for soliciting quotations and procuring office supplies and fixed assets.
  • Support for inventory management and record keeping of all fixed assets, update store ledger, Insurance of assets and periodic physical verification.
  • Support for filing system, scanning, photo copying and binding of documents.
  • Ensure proper maintenance of office equipment, IT equipment and phone services at project office.
  • Collect staff time sheets and leave records, verify and ensure approvals.
  • Other duties as assigned by the supervisor

Qualification and skills:

  • Bachelor’s degree in a related field.
  • Knowledge and background in general administration including logistic, procurement & inventory management.
  • At least 2 years work experience in similar role preferably in the development sector (NGOs)
  • Knowledge with the MS office (Word, Excel, Outlook, PowerPoint etc.) and software application skills, working experience with
  • FAMAS will be an advantage
  • Able to communicate in written and oral in English and Nepali.
