Job Title: Admin cum Executive Secretary

 

Location: Tangal, Kathmandu

Job Summary:
We are seeking a highly organized and proactive Admin cum Executive Secretary to support our executive team and manage various administrative tasks, including front desk operations. The ideal candidate will have excellent communication skills, attention to detail, and the ability to multitask efficiently. This role involves managing travel arrangements, coordinating meetings, handling front desk responsibilities, and ensuring smooth office operations.

Key Responsibilities:

  1. Travel and Accommodation Management:
    • Book and coordinate flight tickets, Visa application, hotel reservations, and transportation for executives and team members.
    • Ensure travel itineraries are accurate and timely, providing necessary documentation and confirmations.
    • Handle any changes or issues related to travel arrangements promptly.
  2. Administrative Support:
    • Schedule and organize meetings, including arranging venues, preparing agendas, and managing meeting logistics.
    • Maintain and update executive calendars, ensuring all appointments and deadlines are met.
    • Prepare and check correspondence, reports, and presentations.
    • Handle incoming and outgoing communications, including phone calls, emails
      etc.
  3. Front Desk Management:
    • Greet and welcome visitors, clients, and employees in a professional and friendly manner.
    • Answer and direct phone calls, take messages, and handle inquiries.
    • Manage visitor logs and ensure that all guests are signed in and out according to company procedures.
    • Coordinate with security and facilities management for any issues related to the front desk area.
  4. Office Management:
    • Manage office supplies inventory and place orders as needed.
    • Coordinate office maintenance and manage relationships with vendors and service providers.
    • Organize and maintain filing systems, both electronic and physical.
  5. Event Coordination:
    • Assist in planning and organizing company events, conferences, and teambuilding activities.
    • Manage event logistics, including venue selection, catering, and coordination of attendees.
  6. Confidentiality and Professionalism:
    • Handle sensitive and confidential information with discretion and integrity.
    • Maintain a professional demeanor in all interactions with internal and external stakeholders.

Qualifications:
Education: Bachelor’s Degree in Business Administration
Experience: 1-2 years of experience in an administrative or executive support role, with experience in front desk operations preferred.
Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software. Nepali typing (most preferred)
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Ability to work independently and handle multiple tasks simultaneously.
  • Familiarity with travel booking systems and procedures.
  • Professional demeanor and strong customer service skills.
