Office Assistant
Job Description
- Errand Running: Perform various errands outside the office, such as picking up and delivering documents, packages, office supplies, or equipment.
- Mail and Package Handling: Receive, sort, and distribute incoming mail and packages to the appropriate recipients within the organization.
- Office Maintenance: Assist with keeping the office area clean and organized, including maintaining supplies, restocking communal areas, and ensuring equipment is in working order.
- Delivery Coordination: Coordinate and track the delivery of materials or products to clients, customers, or vendors.
- Bank and Post Office Visits: Visit the bank for deposits or other financial transactions and handle postal requirements, such as mailing important documents.
- Assisting with Office Tasks: Support administrative staff with various tasks, such as data entry, organizing files, and preparing documents.
- Reception Backup: Provide backup support to the reception area, including greeting visitors and directing them to the appropriate personnel.
- Office Supplies Management: Monitor office supplies inventory and assist with ordering and restocking as needed.
- Assisting with Events: Help with the setup, breakdown, and coordination of office events, meetings, or conferences.
- Confidentiality: Maintain strict confidentiality when dealing with sensitive information or documents.
- Assisting with Office Moves: Support office relocations or rearrangements by moving furniture, equipment, and other items as required.
- Running Local Errands: Perform tasks such as buying office supplies, snacks, or running errands within the local area.
- Coordinating with Vendors: Communicate with vendors and service providers to ensure timely deliveries and services.
- Miscellaneous Tasks: Assist with any other duties or tasks as requested by management or colleagues.
Job Specification
- Proven experience as an office assistant, administrative assistant, or in a similar role.
- Proficient in using office software (e.g., MS Office Suite, email clients, spreadsheets).
- Strong organizational skills and the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills.
- Detail-oriented with a high level of accuracy.
- Ability to maintain confidentiality and exercise discretion.
- Strong interpersonal skills and the ability to work well in a team.
- Experience of at least or less than a year
