Position: Sponsorship Assistant
Location: Bargachhi – 1, Bardibas, Mahottari, Nepal

Key Responsibilities:

MAJOR RESPONSIBILITIES

The Sponsorship Assistant provides support for the implementation of Sponsorship Business Operations within the AP. The Sponsorship Officer works closely with the AP team, partner organization, field mobilisers and community-based committees to ensure well-being of sponsored and non-sponsored children are in place and the organizational requirements related to Sponsorship operations are met according to Sponsorship standards and policies. This position will support to apply Sponsorship in Programming principles to ensure Sponsorship operations and processes integrate with the programme and community efforts: i) to care for and protect children; and ii) to strengthen children’s participation, so the registered children participate and benefit from programme activities.

All Sponsorship Systems are operated and updated efficiently

  • Ensure timely data entry in Horizon Systems regularly
  • Ensure data quality, validation, consolidation and qualification for Auto-APR process
  • Ensure all Horizon Hope mobile devices are synced regularly
  • Maintain management of mobile device as per guideline (MDM – MaaS360) in coordination with local IT
  • Ensure quality checking of all Annual Rich Media contents, provide translations and upload to the system
  • Generate and send all system related report to Supervisor
  • Reconcile number of RC and mitigate all discrepancies
  • Provide incoming gifts and correspondences to SFM and guide them for Child reply, along with CCF
  • Provide correctly translated child reply to letters for FO/NO review and processing
  • Provide contextual and accurate responses to queries on time
  • Ensure backup for smooth function in Systems
  • Ensure solution of any problems in the system
  • Tracking and monitoring standard time for services. Clear my Task meeting all requirements
  • Keep in constant contact with FO: Data Coordinator & Correspondence Coordinators

SPONSORSHIP MANAGEMENT:

  • Sponsorship KPI reporting: Facilitate Child Sponsorship reporting to ensure well-being of Registered Children and manage quality of Child Sponsorship, such as periodical CMS, SOI,
  • Death reports are on time throughout the year with Green ratings (Horizon HOPE), if discrepancies facilitate for review, analysis, tracking and follow-up at AP level (analyse, reconcile AP Performance status, identify emerging issues and engage stakeholders).
  • RC Portfolio: Engage with Partner NGO team to manage RC Portfolio (+-2%) to ensure RC supply for Support Offices is always within standard including creating new child records and reactivation of holds.
  • RC Data Management: RC records and files are well managed, scanned and stored securely. Conduct RC Data review in Horizon Hope for accuracy to ensure all data points of new and existing RC are correctly reported in Hope. Follow the correct process for RC Data correction. Review RC ID list to ensure no Duplicates Child IDs generated in the system.
  • Child selection: The development of child selection criteria for Child Sponsorship, community participation in selection processes and mandated documentation is complete.
  • CMS: Support child monitoring processes to ensure children are monitored according to Child Monitoring Standards, under locally agreed timelines.
  • Case management and follow-up: Ensure Horizon Child-Wellbeing data (Case Management) is regularly reviewed and updated. Ensure reporting and follow-up adherence to organizational protocols. Timely and accurate reporting of Child Death and Emergency cases must be ensured.
  • Programme links: Provide analysis, interpretation of CMS, Child-Wellbeing and child participation data with AP team for appropriate case management follow-through and action. Utilize the reporting and referral mechanism

SPONSOR AND CHILD ENGAGEMENT:

  • Nurture sponsor and child connections: Facilitate quality and timely communication between sponsors and Registered Children.
  • Manage Sponsorship activities to contribute to Child Participation, Life Skills and Voice: Ensure sponsor engagement feature opportunities contribute to developing life skills and promoting child participation and voice. Support implementation of sponsor communication through IPF activities as per activity designs.
  • Efficient management & delivery of sponsor engagement features: Facilitate practices and appropriate tools to ensure management of sponsor child communications (IL, SL, GN, EL, SAC, APR, CEW, SG, QMS, FL, BB and Rich Media content and sponsor queries), within Sponsorship standards.
  • Digital and Non-digital Correspondence: Ensure sponsor gifts/letters are well received from respective FO/ WV National Office (NO), verify the CCF and acknowledge the shipment.
  • Facilitate in the processing of all incoming and outgoing special mails; Sponsors Seasonal Greetings cards, Bulk cards with activity packs, Spontaneous letters, SO/Sponsor Queries
  • Letters within standard timeline. Facilitate translation of correspondence to ensure accuracy and emotional nuance is communicated to children and to sponsors. Send all Reply letters (IL, EL, RL and GAL) to Field Office after content and translation review.
  • Rich Media Quality review: Quality review of Rich Media (CGP, CGV, CUP, CUV, YUP, YUV) products. (New SI Field Content for SFP APs)
  • CEW: Support field mobilizers to complete 100% of Child Expression Worksheets (CEW) with meaningful child engagement and quality, for timely delivery. Ensure all CEW are tagged to the correct Child ID in Horizon Hope.
  • Sponsorship 3.0: Facilitate Sponsorship 3.0 initiatives in the Area Programmes to ensure simple, modern and digital management of Sponsorship experience for all.
  • Production and delivery of materials: Support coordination of design, development of communication materials, quality assurance and administration.
  • Sponsor visits: Support DC to plan and facilitate sponsor visits, and ensure the visiting sponsors are well attended on and get wide exposure and positive impression from visit, with adherence of required protocols, such as production of the Sponsor Visit Report, Sponsor Visit CUP, Sponsor Visit-Thank you Letter.
  • Capture transformational stories: Ensure Quality Communication that captures Transformational Stories to communicate with sponsors. Support the capture, document and share lessons, good practices, innovations, impact stories, photos and videos for other stakeholders.

CAPACITY BUILDING:

  • Sponsorship capacity building: Support District Coordinator to facilitate capacity building trainings on Sponsorship standards, emerging practices in child participation, child engagement, SOI, CMS, Correspondence, Rich Media, Horizon Hope business processes, Sponsorship 3.0 initiatives, policies and Sponsorship initiatives to staff, children, community volunteers and partners – follow up its implementation and application. Enable staff of partner organization(s) to establish strong relationship with and mechanism to support children and families for active participation and engagement in integrated programmes and Sponsorship.
  • Capacity Gaps: Support District Coordinators to identify capacity gaps at Area Programme level and community and use the most appropriate training approach to address.
  • Horizon Hope Mobile App training: Ensure capacity building to frontliners on Horizon Hope Mobile App use to monitor RC. Provide orientation to new Sponsorship Field Mobilisers on relevant Horizon features and Basics of Sponsorship and its business process
  • Equip Sponsorship Field Mobilisers (SFM) and CWB monitoring committees: To inspire, equip and manage SFM and CWB monitoring committees as active agents of change for children with the required skills to meet Child Sponsorship requirements and to be emotionally available for children to contribute positively to their lives. Ensure appropriate training for emerging child and adolescent leaders.

QUALITY ASSURANCE AND RISK MANAGEMENT:

  • Child protection standards: Facilitate to ensure Sponsorship data management, quality and practices are aligned to Sponsorship and child protection policies, standards and procedures. Maintain updated child information in the system and ensure data protection and Horizon Privacy Policy, as per WV Guidelines.
  • Awareness: Facilitate awareness of community, sponsors, registered children and AP staff on Child Sponsorship protocols and standards.
  • Risk management: Support in identification and mitigation of all risk exposures at AP level according to the latest Sponsorship Feasibility and Risk Assessment, and other accountability review processes to manage implementation.
  • Management of internal and external relationships required in Sponsorship operations that facilitate the satisfaction of children, families, communities, and sponsors/donors.
  • Good coordination and collaboration with FO finance, SCM, and courier for smooth and quick service.

Required Professional Experience

  • Minimum of 2-year experience in similar or equivalent positions in development sector or Sponsorship-focused organization
  • Experience in preparing and facilitating training workshops
  • Experience working in a rural or remote district of Nepal
  • In depth understanding and experience in Child Sponsorship and its contribution to child wellbeing
  • Area program work experience in Sponsorship or development projects
  • Demonstrated competencies in operational aspects of Child Sponsorship
  • Demonstrated facilitation skills, including cascading, connecting, and capacity building

Required Education, training, license, registration and certification

  • Bachelor’s degree in social science/development studies/ Sociology/ International Relation or any relevant field
  • Excellent presentation and communication skills

Preferred Knowledge and Qualifications

  • Knowledge of Sponsorship approach, systems and processes
  • Knowledge and practical skills in working with children with basic understanding of Child Protection and Advocacy
  • Knowledge of community development and engagement
  • Knowledge of local partnering
  • Effective written and oral communications skills including presentation and reporting skills
  • Good interpersonal skills and cross-cultural sensitivity. Strong collaboration and partnership skills to mobilize engagement and influence
  • Computer and Technology; Strong computer skills including Word, Excel, PowerPoint; Strong experience in using technology including information management database software and platforms
  • User experience with WV’s data management, information platforms and Sponsorship systems such as Horizon
  • Ability to work independently and collaboratively across teams.
  • High level of integrity towards resources, and identifying risks etc.
  • Strong negotiation, interpersonal skills, organizational, administrative and facilitation skills
  • Must be able to interact with diverse groups and stakeholders

Travel and/or Work Environment

  • Will be required to be based in one of WVI NEPAL’s operational district and working from partner NGO’s office
  • Will be required to spend at least 40% of work time conducting monitoring and field visits in target municipalities and wards.
  • Willingness to work outside office hours especially when conducting monitoring/field visits, when hosting sponsor/donor visits and meeting Sponsorship deadline for key deliverables
