Ujyalo Foundation is a self-led feminist organization established in 2014, with a vision to create safe spaces for girls, women, and nonbinary individuals to learn and lead in Nepal. Our mission at Ujyalo Foundation is to foster a gender-just world where girls, women, and nonbinary individuals can take on leadership and decision-making roles. Through our rights-based leadership institutes, policy dialogues, and advocacy efforts, we are committed to strengthening the equitable representation of girls, women, and nonbinary individuals in leadership spaces within the next 5 years.

We strengthen diverse feminist voices through innovative approaches, feminist leadership principles, intersectional praxis, and strategic alliance and movement building. Ujyalo Foundation also focuses on sustainable development in rural Nepal by conducting programs that promote innovation, encourage social enterprise, and increase capacity building through community-based projects, gender-inclusive leadership, and strengthening the leadership and civic expansion of the elected women representatives.

About the Role:
The Program Assistant will assist the Program Coordinator in designing and implementing Ujyalo Foundation’s leadership and diversity programs, promoting leadership, diversity, equity, and inclusion, especially for women, girls, and nonbinary individuals. The Program Assistant will collaborate closely with the Program Coordinator.

Title: Program Assistant

Location: Kathmandu, Nepal
Reports to: Program Coordinator
Contractual Commitment: 1 year

Roles and Responsibilities:
The main objective of this position is to support the management, implementation, and evaluation of the Foundation’s leadership programs while maintaining transparent communication with participants and stakeholders. The Program Assistant will collaborate with interns and other team members.

Responsibilities include:

A. Program Planning, Implementation, and Execution:

  • Plan, design, and execute sessions and workshops under the guidance of the supervisor.
  • Liaise with community stakeholders such as schools, colleges, local government, and private organizations to develop and implement programs.
  • Co-facilitate and support sessions as needed.
  • Assist the Program Coordinator in managing the program timeline and budget.
  • Handle logistics management for the program.
  • Support ongoing fundraising events.
  • Contribute to the development of program reports, proposals, and presentations.

B. Public Relations and Stakeholder Management:

  • Communicate program updates, progress, and challenges to relevant stakeholders.
  • Assist in developing and managing relationships with alumni, facilitators, and individual donors.
  • Manage project changes as needed in emergency situations or other humanitarian crises.
  • Support communication and outreach efforts.

C. Reporting, Monitoring, and Evaluation:

  • Attend periodic meetings with the team and stakeholders to review program progress.
  • Provide periodic program and impact reports to the Program Coordinator.
  • Support the review, design, and maintenance of workshop manuals for each program.
  • Compile relevant data to develop better gender and leadership knowledge materials.
  • Assist in monitoring and evaluating program activities, tracking progress, and ensuring compliance with donor requirements.

D. Communication and Documentation:

  • Communicate best practices and learnings from the programs internally and externally on a quarterly basis.
  • Work with team members to produce infographics on project updates.
  • Document and archive project activities.

E. Organizational Management and Understanding:

  • Represent the organization at the community level as needed.
  • Assist the Program Coordinator in grant writing and fundraising for the programs.
  • Coordinate with the Office Assistant for logistic management as per the programs.

F. Requirements specific to the position:

  • Participate in all Ujyalo Foundation events.
  • Follow the Cultural Code and best practices.
  • Participate in weekly team meetings, one-on-one check-ins, quarterly reviews, and annual strategic planning meetings.
  • Working hours are 9:00 a.m. to 5:30 p.m., Monday to Friday, with flexible hours as agreed upon with the line manager. Working on Saturdays and weekends might be required during workshop periods.

G. Qualifications, Experience, and Skills:

  • Bachelor’s degree in a social science-related field.
  • At least 1 year of experience in a similar role or within the field of gender equality and feminism is preferred.
  • Proficiency in Microsoft Office Suite and Google Suite.
  • Strong organizational, administrative, logistics management, and communication skills.
  • Commitment to the organization’s feminist values and mission.
