Background Information
The United Nations Human Settlements Programme (UN-Habitat), established in 1978, is the lead agency within the UN system for coordinating activities in the field of human settlement development. It is mandated by the UN General Assembly to promote socially and environmentally sustainable towns and cities with the goal of providing adequate shelter for all. It also serves as the focal point for monitoring progress on implementation of the New Urban Agenda (NUA) – the global plan of action adopted at the third United Nations Conference on Housing and Sustainable Urban Development (Habitat III), held in Quito, Ecuador in 2016. UN-Habitat contributes to the overall objective of the United Nations system to reduce poverty and promote sustainable development, and particularly works on the challenges of urbanization – its demographic, environmental, economic, social and spatial impacts.
UN-Habitat started its operation in Nepal to support reconstruction after the 1988 earthquake and has continued its work in collaboration with partners’ ranging from the government and local authorities to a wide cross-section of Non-Governmental Organizations and civil society groups. Aiming for the better livable and sustainable urban area and human settlements, its mission is to promote development of socially and environmentally sustainable settlements and achieve adequate shelter for all.
UN-Habitat support to the Government and people of Nepal is primarily focused on four sectors: Urban Planning and Climate Change, Land Management, Water, Sanitation, and Hygiene (WASH), and Inclusive Development and Housing. UNHabitat works with both national and sub-national governments, providing technical support for policy formulations, strengthen capacities for localization of the policies, and collaborate to execute projects and initiatives to demonstrate policy implementation.
UN-Habitat in Nepal remains committed to support implementation of NUA and SDGs, through mainstreaming Green, Resilient, Inclusive Development in its processes and support to the government to reinforce the need of ensuring inclusive, safe and sustainable settlements for all, focusing particularly on the needs of the most marginalized – urban poor, slum-dwellers, landless, women and youths
IT and Documentation Assistant
The IT and Documentation Assistant (ITDA) in close consultation with and guidance from the Administrative and Finance Officer, Project Managers and Habitat Programme Manager shall be required to support in planning, designing and implementing the IT and documentation activities of the UN-Habitat’s Projects. The IT and Documentation Assistant will work coordinating with Admin Finance Officer and project team and partners in providing IT based support and documentation of the project activities.
Duties and Responsibilities
IT and Documentation Assistant will work with and under direction supervision of the Habitat Programme Manager (HPM) of Nepal, and overall supervision as required from the Administration and Finance Officer. Guided by the overall project agreement between UNHabitat and projects, support to projects and administration in IT related, documentation and information disseminations.
A. IT Support
- Ensure that all the IT equipment are working;
- Technical support in e-mail system;
- Assist Admin and Finance officer in procuring IT related Equipment
- Update internal “Intranet” information system on regular basis
- Provide technical support in maintaining IT system
- Organize server administration
- Monitor and operate the Network system i.e CCTV, Router and Switches etc.
- Support in IT related required services in workshop and event
- Keep documentation of solution for technical issues;
- Participate United Nations IT task force for harmonization and ensure standardization
B Support to Programme Documentation
Guided by UN-Habitat and Projects publication and documentation guidelines to:
- Maintain internal documentation system (both hard and soft copies),
- Maintain Soft copy of documentation of all the outputs submitted by the partners under Cooperation Agreements.
- Prepare inventory of documents, photos, publications and videos
- Support to develop and produce information materials like Infographics, data visualization for Programme reports and social media dissemination
- Assist to develop dissemination materials and disseminate information related to the projects through group e-mail, web, social media post.
C Perform any other assignments, as requested by the Habitat Programme Manager in consultation with the Regional Advisor
Qualifications
Education
- Certificate level / Plus 2 with computer science and information technology. Or
- Bachelor’s degree in Science in Computer Science and Information Technology, Information and Data Management or related field
Knowledge and skills
- Experience on development of website and database
- Technical skill and good knowledge on Information Technology.
- Good skill in document management
- Skill on VPN, ACL and VLA
- Skill on AD, DNA, Cloud, VPS, Vmware;
- Digital Content creations, Photos and Videos editing
- Have good knowledge in computer and able to trouble shoot problems
- Good human relations skills, especially the ability to relate to a wide range of team members and partners.
- Experience in project related area is an advantage
- Progressive thinking, ability to work as part of a team and also to achieve work outputs with limited supervision, and a pro-active, energetic and innovative approach to work
- Ability to manage time in multi-tasking and conducting parallel activities, and to meet deadlines
- Experience and knowledge of the UN system or work in international agencies will be beneficial
Years of experience
Professional:
- Minimum 5 years work experience for Certificate level / Plus 2 in the field of documentation and IT.
Languages
- Excellent command of both spoken and written English and Nepali.
Computer skill
- Good working knowledge of computer programmes including Web design and management, IT networking, intranet and networking
