Administration Manager

Responsibilities:

  • Oversee the overall maintenance and cleanliness of the Visa Application Centre.
  • Coordinate with vendors for facility repairs and improvements.
  • Manage administrative staff, including receptionists and support personnel.
  • Ensure the availability of adequate staffing levels to meet operational needs.
  • Develop and implement efficient document management and record-keeping systems.
  • Ensure compliance with data protection and confidentiality policies.
  • Manage the procurement of office supplies and equipment.
  • Negotiate contracts with vendors to ensure cost-effective purchases.
  • Coordinate travel arrangements for staff, including visa applications and accommodation.
  • Ensure that travel policies are followed, and expenses are within budget.
  • Plan and coordinate events, meetings, and training sessions.
  • Ensure that logistical arrangements are in place for successful events.
  • Implement and enforce health and safety protocols within the office.
  • Conduct regular safety inspections and drills.
  • Assist in the development of the administrative budget.
  • Monitor and manage expenses to stay within budgetary constraints.
  • Oversee the maintenance and functionality of office technology, including computers, printers, and communication systems.
  • Collaborate with the IT department for technical support when needed.

Requirements:

Education: Bachelor’s degree in Business Administration, Management, or a related field. Master’s degree is a plus.

Experience: Proven experience in administration management, preferably in a visa application centre or a related field. Familiarity with administrative processes and procedures.
