Position: HR and Admin Manager

Position Overview

The HR & Administration Manager will be responsible for overseeing end-to-end human resource functions along with comprehensive administrative operations at the factory. The role requires a strong balance between people management and operational efficiency, ensuring a compliant, safe, and productive working environment while supporting management and employees in achieving organizational objectives.

Roles and Responsibilities

Key Roles & Responsibilities Human Resources Management

  • Manage the complete recruitment lifecycle including manpower planning, job postings, screening, interviewing, selection, and issuance of offer letters.
  • Oversee onboarding and orientation programs to ensure smooth integration of new employees into the organization.
  • Act as a key point of contact between management and employees to address concerns, resolve conflicts, handle grievances, and foster a positive workplace culture.
  • Support employee engagement initiatives, disciplinary processes, and performance-related coordination in line with company policies.
  • Ensure compliance with labor laws, factory regulations, and internal HR policies.

Administrative & Facility Management

  • Oversee day-to-day administrative operations to ensure uninterrupted factory functioning, including office supplies, infrastructure upkeep, and general maintenance.
  • Manage factory administration covering housekeeping, security services, canteen operations, transportation, and employee accommodation.
  • Ensure a safe, healthy, and efficient working environment by implementing health, safety, and workplace compliance standards.
  • Coordinate regular inspections, safety audits, and corrective actions in line with statutory requirements.

Vendor & Service Provider Management

  • Manage and negotiate contracts with vendors and service providers for administrative services, facility management, and procurements.
  • Ensure cost-effective procurement while maintaining service quality and compliance with company standards.
  • Monitor vendor performance, resolve service issues, and ensure timely payments and renewals.

Records & Documentation

  • Maintain accurate and up-to-date records of employee documents, contracts, agreements, licenses, and statutory compliances.
  • Ensure proper filing, confidentiality, and audit-readiness of all HR and administrative documentation.

Cross-functional Coordination

  • Coordinate closely with IT, Maintenance, Utilities, and other support teams to ensure smooth operational support for factory activities.
  • Act as a liaison between factory operations and corporate/shared service teams to align HR and administrative processes.

Qualifications

Key Skills & Competencies

  • 8+ years of experience in HR practices, labor laws, and factory administration
  • Excellent interpersonal, communication, and conflict-resolution skills
  • Proven ability to manage vendors and multiple administrative functions

Required Skills

  • High level of organizational and documentation skills
  • Ability to work independently in a factory environment and manage operational challenges
