Position: Office Secretary
Location: Kathmandu
The Human Resources Society Nepal (HRSN) is dynamic professional platform dedicated to advancing field of Human Resource Management in Nepal. Established in 2013 A.D. and legally registered under Nepalese law, HRSN provides a collaborative space where HR professionals can connect, share insights, and exchange best practices to enhance the profession collectively.
As non-political, non-profit organization, HRSN is committed to promoting awareness about the critical role of HR management in Nepalese organizations. It strives empower HR professionals by fostering continuous learning and professionals development through workshops, training programs, seminars, and knowledge-sharing sessions. The initiatives help individuals stay informed about emerging trends, industry best practices, and evolving workplace dynamics.
Key Responsibilities:
- Manage office files, records, and confidential documents
- Handle incoming and outgoing calls, emails, and official correspondence
- Prepare and circulate accurate meeting minutes after every Board Meeting
- Communicate and coordinate with speakers, members, participants, sponsors, and partners
- Coordinate and organize regular Knowledge Sharing Sessions (KSS)
- Ensure smooth execution of events with quality participant experience as per our annual activities calendar
- Ensure proper documentation, reporting, and record maintenance for all activities
- Maintain member database, event records, and official files in an organized manner
- Prepare event schedules, invitations, and communication materials
- Coordinate with vendors, suppliers, and service providers for events
- Monitor event budgets and ensure cost-effective execution
- Oversee on-site event execution and post-event reporting
- Manage HRSN’s visibility on LinkedIn, Facebook, and other digital platforms
- Collect feedback and support continuous improvement of programs
- Coordinate with sponsors and ensure timely collection of confirmed sponsor payments
- Follow up and ensure timely collection of participant fees for events and programs
- Maintain financial trackers and regularly update achievement status to the Executive Board
Required Skills & Competencies:
- Strong communication and interpersonal skills
- Excellent organizational and multitasking abilities
- Event planning and coordination skills
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
- Ability to work under deadlines and manage multiple activities
- Professional demeanor with attention to detail
Qualifications:
- Bachelor’s degree or equivalent (preferred)
- 3–5 years of experience in office administration and/or event management
- Experience in corporate event coordination will be an added advantage
