Procurement Officer- Buying and Invoicing

The purpose of this position is to support in day to day logistic and procurement activities and other support functions to run smoothly through field office operation. The role will include logistics support to district offices as well as of partners. S/he is also responsible for procurement related matter of the organization and facilitate the partners accordingly.

Key Responsibilities:

  • Manage and execute procurement of goods and services required for the organization following the guiding principles “Best Value for Money, Transparency, Accountability, Equal and Fair competition”.
  • Manage online procurement systems (ProSave) and execution online procurement (Goods/Services and Consultancy Services) through ProSave online procurement System.
  • Manage procurement reviewer on the ProSave Systems
  • Manage/Upload invoice on the ProSave System
  • Work closely Sourcing Coordinator in developing FWAs, agreement and contracts
  • Close coordination with suppliers for timely receiving of supplies.
  • Support on procurement of goods is in high quality, timely and cost-effective adhering to established policy of the organization/ PNGOs and at the field level.
  • Ensure procurement policies including donors’ requirements are followed all the time and pay attention for making zero non-compliances.
  • Develops and maintains an effective working relationship with vendors/suppliers.
  • Work through supply chain model of procurement to deliver goods on time.
  • Support program department on special events e.g. seminars, workshops, retreat.
  • Monitoring and backstopping support to district-based partners on procurement
  • Identify gap on partners Admin & Logistic staff and provide onsite coaching on ProSave.
  • Any other duty assigned by line manager.
  • Update the procurement tracker and report to line manager.
  • Work in emergency situation in the region or as assigned as per full spectrum aspect of the organisation as well as being the leader in emergency preparedness and response for children.
  • Support and necessary capacity build of PNGOs staff in procurement and Logistic and Support in preparation procurement plan to PNGOs
  • Supporting Save the Children’s dual mandate of development programs.
  • Keep updated him/herself about market dynamics,

Qualifications and Experience:

  • 3 years’ experience in procurement management in reputed organisation (2 years for GSI group*)
