Position: Management Trainee- Documentation

Location: Kathmandu

Purpose of the position

To assist in preparing, managing, and maintaining documentation for tenders, RFPs (Requests for Proposal), RFIs, PQQs, and ITTs related to IT services, software development, hardware, cloud solutions, cybersecurity, finance, accounting and digital transformation projects.

Responsibilities & duties

  • Assist in reviewing tender/RFP documents to identify documentation requirements, compliance needs, and submission guidelines for IT projects;
  • Support the collection of inputs from technical, sales, finance, legal, and project teams (e.g., resumes, case studies, certifications like ISO, technical specifications);
  • Help in formatting, editing, proofreading, and compiling bid/proposal/project sections under senior guidance;
  • Maintain document version control, organize files, and update backups to ensure accuracy;
  • Contribute to consolidating inputs from various contributors into cohesive proposal documents;
  • Assist in managing and updating the bid library/repository with templates, reusable content, past proposals, and supporting materials specific to IT tenders;
  • Work with the team in the collation of information and to ensure deadlines are met;
  • Support for the timely submission of bids physically or by uploading documents on e-tendering portal;
  • Participate in document reviews, providing inputs on clarity, grammar, and presentation;
  • Track bid-related communications, clarifications, and amendments;
  • Prepare basic supporting materials, such as executive summaries or presentations, for bid clarifications;
  • Undertake statistical analysis and research on assigned tasks;
  • Identify trends and recommend proactive or remedial action to manage business projects and plans;
  • Manage a demanding and reactive workload in a responsive way to assist the seniors to meet the team’s key objectives;
  • Gather critical information by consulting different sources to produce best report and documents for the projects;
  • Acquire knowledge of all the standards, procedures and methods that is needed for departmental duties and performance;
  • Perform other duties assigned by the seniors.

Essential skills, abilities & knowledge

  •  Should be proficiency in MS Office (Word, Excel, PowerPoint);
  •  Should possess excellent interpersonal and communication skills;
  •  Should possess the ability to cope with pressure and challenges;
  •  Should be a team player;
  • Should have excellent report writing and presentation skills.
  •  Should understand IT sector concepts (e.g., software development, cloud computing) or government procurement processes.

Academic & trades qualifications

  • BIM/BBA (Master’s preferred)

  • Freshers
